In a recent case, one of my students decided to go to another school. At the request of the HoT, I sent a copy of their training record, retaining the original. The student has come back to me. I now have a copy of the record of the training they did elsewhere, to add to the original I still retain. Thus there is a continuity of record.
The other school appear to keep their records on an Excel spreadsheet. I guess this is easier for tracking hours flown in the various categories, but I still like a paper record in a folder. I can then keep other items in the folder, such as a copy of their medical certificate, cross-country authorisations, approval to sit exams and the results etc. I also find it easier to share progress and any issues with the student.
When we are inspected by the DTO Licensing Standards Inspector from the CAA, one of the things they go through with a fine toothed comb is the state of our training records. Hopefully, they will find all is in order. They were really big on a record of students being ready to sit exams last time, signed off by the ground instructor.
