View Full Version : Outlook/Excel help please

I have an excel file full of email addresses (several thousand). I need these exported into Outlook so I can send each recipient the same email. Is there a simple way to do this? I've tried importing it as a .csv file but with no success, I really don't want to copy them all manually!

Well in my opinion importing a CSV should be the way to do this.
I've done this several times and it worked fine.

Do you receive any error messages?

You can do it using the mail merge in Word.

With that size of list you should be careful to ensure that the email os not considered as spam.

Importing from Excel appears to be the way to go ....
Make sure the fields you are trying to import match up with the field in the Outlook Address Book, and map the fields if necessary.
From the Outlook Help file :


To import from Act!, Lotus Organizer, dBase, ECCO, Microsoft Access, Excel, FoxPro, Schedule+, and Microsoft Mail (.mmf)
On the File menu, click Import and Export.
Click Import from another program or file, and then click Next.
Select the type of file to import.
Click Browse, and then select the file you want to import.
Select the folder you want the imported data to go into.
If necessary, map fields from the file you are importing to Outlook fields.

How?
Click Map Custom Fields.
In the From box, drag the field you want to convert onto the Microsoft Outlook field listed in the To box. To see additional records in the From box, click Previous or Next.
To remove all mapping, click Clear Map.
To reset the original mapping, click Default Map.
To display additional fields in the To box, click the plus sign (+) next to the field. For example, to display the Business Street and Business City fields, click the + next to Business Address.

Thanks for that. Its not spam, its for people who have signed up to a newsletter type service, its just been a wee bit more popular than we expected!

Might be worth asking the question of your ISP in case they have filters in place. You know it is not spam but you need to ensure they do too. Some block emails to many recipients in the BCC field, some block when the same email is sent to many different addresses. One customer of mine had to set up there own outbound mail server as the monthly newsletter kept being blocked by the ISPs server.
